The Karlsruhe Municipal Hospital rolls out a digital visitor management system – CAS Software develops the solution
With the introduction of an digital visitor management portal, the municipal hospital in Karlsruhe has become a trailblazer. The solution was developed on the back of the SmartWe software platform from CAS Software AG.
The Corona pandemic is currently posing particular challenges to hospitals and care facilities and challenging the entire health system. To conform with current visitor rules as defined in the "Corona regulations for care homes and hospitals" state document, the municipal hospital in Karlsruhe has rolled-out a digital visitor management portal. Based on the SmartWe platform, the solution was developed by CAS Software AG specifically for the daily requirements of a medical practice.

An easier registration process instead of long waiting times
Thanks to the online solution, relatives can now comfortably book an appointment with visitor registration from home or while mobile, this speeds up the who registration process at the central registration point as initial formalities can be prepared in advance. Registration is uncomplicated and can be completed via any smartphone, internet browser or directly via the hospitals website. And if visitors decide to use the option to complete the necessary forms online, then the whole process is accelerated even more.
Minimization of risks to health
Using digital preregistration via the visitor portal, the hospital can already drastically reduce the risk of infection by avoiding queues of waiting patients and relatives right from the start. Visitors simply register themselves in advance using their personal data and then enter an appointment for the completion of the last formalities with the central registration point in houses S and R. And if the online registration is completed on the same day as the visitor expects to visit the hospital, then the visitor can complete a so-called daily updated visitor self-disclosure form. Once all data has been entered, the visitor will receive an e-mail confirmation including a visitor number which they can use to register on site at the main registration and special fast-track registration point - and all without having to plan for a long wait.
Visitor coordination at a glance
Hospital staff use the SmartWe software platform from CAS Software AG to coordinate visitor registrations internally. With the help of a digitally created overview, hospital staff register visitors by checking their visitor numbers against the data they have already entered online. In the next step, staff decide if all the data has been fully completed and whether or not there are any mitigating factors such as risk of infection or other criteria which would rule out a visit.
